Cancelation Policy

Village allows providers to set automated cancelation rules for each of their activities (the “Cancellation Policy”). The Cancelation Policy determines whether you as a parent have the ability to cancel directly through the platform and what happens to any related past or upcoming payments. The Provider has the ability to cancel a registration at any time and it is at their discretion whether to refund any prior payments and/or cancel remaining installments. Please reach out to us if you encounter a situation where the Provider is not acting fairly regarding cancelations or other matters.


Understand the Cancelation Policy before you register


Before you decide to purchase a registration, it’s important to consider what its automated cancelation policy is. You can find it on the Cancelation policy” section of any activity page


Keep in mind that the provider may change the Cancelation Policy for new registrations at any time, but the policy that is active when you register is the one that will apply to your registration. 


Registrations paid offline cannot be canceled


In the case of registrations paid offline, either with cash or check, you as a parent will not be able to cancel it through the platform, regardless of what the activity cancelation policy was at the moment the order was placed. You will need to get in touch with the activity provider to cancel and to explore any available refund options, at their discretion.



Find the Cancelation Policy for a confirmed registration


If you don’t remember what the policy of a registration that you already purchased is, there are a couple ways to find out:

Disregard the policy in the activity page, since it might have changed since you registered and therefore might not be the one that applies for your existing registration. 


Types of Cancelation Policies


The Cancelation Policy might specify a notice period before the scheduled start time within which you can cancel directly through Village and get some form of automated refund. Past the notice deadline, you will need to contact the provider directly to inquire about refund options at their discretion. This window helps providers have time to prepare accordingly, and it gives another family the opportunity to attend.


The Cancelation Policy might prevent cancelations through the platform altogether, in which case we recommend carefully reading the program description since the provider may have added additional information about their own terms and conditions. However, whether the provider complies to this or not is outside of what Village controls.


Canceling through the platform


Canceling a registration through the platform will only be allowed within the notice period. When you do so, you will receive the entire amount you paid back in the form of either provider credit or a refund to the credit card you used, depending on the policy. In either case, any unpaid installments will be canceled. If you used credit, it will be added back to your account. If you used a scholarship to subsidize your registration, you will have the opportunity to re-apply for a new one the next time you’re signing up but funds are not reserved.


Past the cancelation deadline


If you wish to cancel a registration past the Cancelation Policy deadline, you need to contact the provider since self-cancelation through the platform will no longer be available. The provider has the ability to issue a refund and cancel installments on their end, should they decide to do so.
